About the role

Takeda is seeking a proactive Coordinator to support project delivery and office operations across its regional offices. The role blends administrative excellence with the use of AI‑powered tools and digital platforms to streamline workflows, enhance data visibility, and drive innovation.

Key responsibilities

• Perform daily organizational and administrative tasks for the local office, including mail handling, inventory management, and ordering supplies.
• Plan, coordinate, and document internal and external meetings, events, workshops, and team‑building activities.
• Manage Veeva CRM event lifecycle: open events, collect offers, obtain approvals, draft agreements, secure signatures, process invoices, archive documentation, and ensure transparency disclosures.
• Process invoices and donations, track spending, code expenses, and provide accruals for events.
• Oversee office expenditures, purchase orders, and vendor onboarding for the Sofia office.
• Act as the primary user of internal authorization tools, CRM, and procurement platforms to guarantee compliance with Takeda’s approval processes.
• Identify project‑related issues, propose solutions, and support cross‑functional teams as needed.

Required profile

• Strong administrative and organizational abilities with a focus on accuracy and deadline adherence.
• Experience coordinating events, managing documentation, and handling invoice processing.
• Ability to work collaboratively with stakeholders across multiple countries and functions.

Required skills

• Proficiency with Veeva CRM for event and donation management.
• Familiarity with AI‑powered tools and data‑analytics platforms to automate routine tasks.
• Competence in using procurement and authorization software.
