Team Assistant

About the role

Xometry is seeking a highly organized, proactive, and detail‑oriented Team Assistant to support daily office operations, logistics, finance, HR, and executive leadership. The role is ideal for someone who thrives in a fast‑paced environment, can juggle multiple priorities, and takes ownership of administrative processes.

Key responsibilities

• Manage daily office operations, front‑desk duties, deliveries, visitor coordination, and liaison with service providers and the landlord.
• Oversee office supplies, equipment, furniture procurement, kitchen and common‑area upkeep, and hygiene stock.
• Coordinate packing, labeling, and shipping of samples; manage company car maintenance, insurance, and refueling.
• Handle logistics for deliveries, returns, SIM‑card distribution, and procurement requests via Amazon and other platforms.
• Collect and process invoices, reconcile receipts in Moss and Navan, and support sales‑team bonus calculations.
• Organise team events, in‑office gatherings, client visits, exhibitions, and travel arrangements for employees and executives.
• Support onboarding, office orientation, access setup, and visa applications for new hires.
• Provide dedicated executive support, including calendar management, meeting coordination, travel planning, and organization of town halls and Q&A sessions.

Required skills

• Experience with Moss expense‑management system.
• Experience with Navan expense‑management system.
• Familiarity with Amazon procurement platform.
