About the role
The International Rescue Committee is seeking an Administrative Manager for its Resource Acquisition and Management (RAM) unit. This position supports the Resettlement, Asylum, and Integration department by overseeing finance, procurement, operations, and knowledge‑management activities across multiple U.S. and European locations.
Key responsibilities
- Manage purchase‑card and project expenses using Emburse, reconciling monthly procurement and travel card activities.
- Process procurement requests, develop vouchers, and handle invoices in collaboration with Pre‑Award, Post‑Award, and Finance teams.
- Oversee monthly time‑and‑effort reporting, ensuring accurate budget coding for each award.
- Coordinate meeting and event logistics, including travel arrangements and expense reimbursements.
- Maintain office supplies, equipment inventory, and negotiate non‑profit pricing for software and services.
- Prepare consultant and vendor agreements and support payment processing with Global Finance.
- Assist with onboarding and offboarding of RAM volunteers and interns.
- Organize electronic project files and documentation in cloud platforms.
Required profile
- Experience managing finance, procurement, or administrative functions in a nonprofit or humanitarian setting.
- Strong organizational skills with the ability to coordinate logistics and maintain accurate records.
- Ability to work collaboratively with finance, supply‑chain, and human‑resources teams.
- Attention to detail for compliance with standard operating procedures.
